Elements of a Good Security Guard Proposal

It can be both exciting and nerve-wracking to be requested to submit a proposal for security guard services. Your proposal might get you kicked out of the running, invited to a formal presentation, or perhaps land you a job. You may usually expect tough competition when submitting a security guard bid. A well-written proposal, on the other hand, can help you stand out from the throng. So, whenever you’re asked to submit a proposal, take the time to write a fantastic response so you can make the most of the opportunity.

1. Include a Table of Contents |

The majority of security guard proposals are somewhat extensive. Make sure to include a table of contents to make it easier for the reader to access the information they’re looking for. Adding a table of contents to a Microsoft Word document is quite simple.

2. Page Numbers |

In addition to a table of contents always include page numbers to help the reader easily find information.

3. Internal Links to Information |

If you’re sending an electronic version of your proposal, a table of contents will allow your reader to quickly jump to a certain section by clicking on it within the table. If necessary, consider linking to other text.

4. Electronic Copy |

When feasible, always submit an electronic copy of your proposal. It makes it easier for the recipient to share your proposal.

5. Executive Summary |

The average security guard proposal is almost 25 pages long. Make your reader’s life easier by providing an executive summary of the information in your proposal. If they want to learn more, they can use the links you give to navigate to the relevant portion of the proposal.

6. Write from the Customer’s Perspective |

Many proposals are presented from the standpoint of the security guard firm and discuss what the company offers to the table. Rather, the proposal should address the reader’s issues directly and explain how you will make the reader’s job easier and their property safer.

7. The “I” Perspective |

Remove as many of the following terms as possible, in addition to writing from the customer’s perspective – we, me, us, and I. Replace them with the words “you,” “your,” and “yours.” This will show that you care about the reader’s needs.

8. Customization |

Although it may be tempting to simply swap names and repeat the identical idea, DON’T. Take the time to personalise each proposal to meet the reader’s requirements. Demonstrate that you understand their concerns and how you plan to address them.

9. Additional Solutions |

Always incorporate alternative solutions that you are capable of delivering in addition to security guard service. Because security agents are unable to handle all problems, have a plan in place to address some of the reader’s other concerns.

10. Pictures of Uniforms |

Always include high-resolution images of your uniforms and officers.

11. Technology |

you must incorporate technology into your proposal. Customers want their providers to give new solutions to their challenges, whether it’s reporting software, tour monitoring software, or remote camera viewing.

12. Media |

To differentiate your organisation in the digital age, you should use as many tools as possible. If you’re submitting an electronic proposal, don’t forget to include a link to any video, graphic, or previously published content you’ve created.

13. Documentation |

Include an up-to-date copy of your licence, insurance, résumé, and all other applicable credentials, even if it seems obvious.

14. References |

Include as many references as possible when asked for them. Use references that are similar to the property you’re bidding on wherever possible. Include a summary of a problem you handled or an accomplishment you achieved at the property.

15. Tell a Story |

Keep in mind that people enjoy hearing stories. At least one storey that shows a challenge you were able to address for a similar client should be included.

16. Be Brief |

Many proposals have the flaw of using more words than necessary to explain a concept. You should relentlessly edit your suggestions to remove needless words, repetitive statements, and clichés.

17. Include Reports |

Include example reports, including any summaries, analytics, metrics, or key performance indicators, that you will be delivering to the client.

18. Include an Appendix |

Keep supporting documentation in an appendix that the reader can refer to as needed, in keeping with the principle of being brief.

19. Use a Response Checklist |

You’re presumably responding to a request for proposals with your proposal (RFP). If that’s the case, write a list of all the conditions listed in the RFP and cross them off as you go. Each item should also be accompanied by a page number indicating where it can be located.

20. Have Easy to Understand Pricing |

Lastly, make sure that you include a breakout of your pricing, including hourly wages, to help the reader understand what they are getting.

Summing-up

Although a well-written security guard proposal does not guarantee that you will win a bid, it does give you the chance to differentiate yourself from your competition. So, make sure that it is clear, concise, persuasive, and speaks to the reader’s needs.
