Challenge #1: Sending Incident Reports To Customer
Manual reporting by security guards used paper reports. When an incident took place, the guards would complete their daily activity incident report and then that report would be collected by our office from the site. Once the report reaches our office for review, we’d do that and then fax them to the client once they had been approved. This was a long process, our security guard software quickens the entire process, eliminates the use of paper and reports every piece of information digitally. So, the client can access the daily incident reports within no time.
Challenge #2: Timesheets
The paper timesheets were inefficient and wasted a lot of time. A lot of time was being devoted to processing the timesheets and payroll. Because we used paper timesheets to collect our officers’ hours, we often had to send supervisory personnel to collect timesheets from the field. Once those paper timesheets were collected, it was usually a 2 – 3-day process collating, verifying, and calculating hours. So for a security guard company that already found itself without enough time to train, recruit, and chase new business we spent 4 – 6 days a month on payroll.
